How to Run a Data-Informed Coaching Session in 5 Steps
A data-informed session isn't a colder session — it's a sharper one. Here's a 5-step structure that uses client signals to make every minute count.

Some coaches worry that bringing data into a session will make it clinical and cold — staring at dashboards instead of connecting with a human. Done wrong, sure. Done right, the data does the opposite: it clears away the vague catch-up and frees the session for deeper work.
Here's a five-step structure for a session that's both data-informed and deeply human.
Step 1 — Review Before You Arrive
Don't open the session by asking "how was your week?" — the data already told you. Before the call, scan the client's recent check-ins: state trend, energy, adherence, any relapse or plateau signals. You walk in already knowing the terrain.
Step 2 — Open With What You Noticed
Start with a specific observation: "Your grounding dipped midweek — what happened Thursday?" This instantly signals that you see them, their input matters, and you've done your homework. It's the strongest engagement move there is.
Step 3 — Coach the Pattern, Not Just the Moment
Use the trajectory to go beyond this week's mood. If adherence drops every time energy falls, name the pattern and coach the upstream cause. Data lets you address the recurring lever, not just the latest symptom.
Step 4 — Adjust the Strategy Together
This is the "adjustment" stage of the loop. Based on the signals, fine-tune the plan with the client — match intensity to their state, protect a fragile habit, lean into a high-capacity week. Decisions grounded in evidence, made collaboratively.
Step 5 — Close the Loop Visibly
End by showing the client their trajectory. Let them see the line. That visible progress reinforces the behaviors that earned it and sends them off believing — which fuels the next check-in.
